WhatsApp is where festive pre-orders arrive, and where they get lost. A simple system for confirming, recording, collecting advances and delivering every WhatsApp order on time.
In the week before Diwali, many shops receive dozens of orders a day on WhatsApp: voice notes, photos of handwritten lists, "same as last year". Orders get missed because the chat is not a system. The fix is a short, repeatable flow: confirm in writing, record outside the chat, take an advance and send a reminder before delivery.
The four-message order flow
- Customer's order arrives (text, voice note or photo).
- You confirm in writing: items, quantities, total, delivery or pickup date and slot, and advance amount.
"Confirmed: 2 kg kaju katli, 3 dry-fruit boxes (₹499 each). Total ₹3,297. Pickup 7 Nov, 5–6 pm. Please pay ₹1,000 advance on this UPI to book."
- Advance received: you send an order number. "Order D-104 booked. Balance ₹2,297 at pickup."
- Reminder the day before: "Reminder: order D-104 ready for pickup tomorrow, 5–6 pm."
The customer always knows where their order stands, and you have a written record if there is a dispute.
Record every order outside the chat
The chat is for talking; the order book is for tracking. Every confirmed order should go into one list, in your billing system or at least a shared sheet, with:

Make voice notes and photos workable
- Reply with a typed confirmation of what you understood. Never prepare an order directly from a voice note.
- Ask for missing details in one message: quantity, date and address together, not one question at a time.

Daily packing list
Each evening, print or share a list of next-day orders by slot. Packing staff work from the list, not from the phone. Tick off each order when packed and again when handed over.
When things go wrong
- Item out of stock: message the customer immediately with an alternative and the price difference.
- Customer does not turn up: message once after the slot, then hold the order for an agreed time. The advance policy should be stated when they book.
- Wrong item delivered: apologise, fix it fast and note what went wrong in the process.
