Purchase Orders for Small Retailers: Stop Over-Ordering and Missing Credit Notes

Many small retailers order by phone and memory, then pay for short deliveries, wrong rates and missing credit notes. A light purchase-order process that fixes it without paperwork overload.
"Send the usual" on a phone call is how many small shops order stock. It is quick, until the bill arrives with a higher rate, short quantities or an item you did not ask for, and the credit note for last month's damaged goods never comes. A simple purchase order (PO) fixes most of this, and it can be one WhatsApp message.
What a lightweight PO includes
- PO number and date
- Supplier name
- Items, quantities and the agreed rate
- Expected delivery date
- Any pending credit notes or returns to adjust
Send it on WhatsApp or email from your software. That message becomes the reference for checking the delivery and the bill.
Order with a rule, not a feeling
For your regular items, set a simple reorder rule:
Reorder quantity = (average weekly sales × weeks until next delivery + safety stock) − current stock
Your billing software can show weekly sales and current stock; you decide the safety stock for each item based on how much a stock-out hurts.
Check every delivery against the PO
| Check | If it doesn't match |
|---|
| Items received vs ordered | Note extras and shortages on the delivery note |
| Quantities | Count before signing; note shortages |
| Rates on the bill vs PO | Ask for a corrected bill or a credit note before paying |
| Damaged or expired items | Return immediately or note for a credit note |
Track credit notes like money, because they are
Keep a list of every pending credit note: supplier, reason, amount and date. Adjust it against the next payment, and do not pay the full bill until the credit is applied. Ask your CA how credit notes should be reflected for GST.
Enter purchases the day goods arrive
Same-day purchase entry keeps stock accurate, helps you match supplier invoices in GST's Invoice Management System and avoids month-end piles of bills.
Where BizFlow fits
BizFlow creates purchase orders from reorder suggestions, sends them on WhatsApp, compares received quantities and rates with the PO and tracks pending credit notes by supplier. See inventory and purchase automation.
