Opening a Second Branch: Systems to Put in Place First

A second shop doubles the owner's problems unless systems come first. What to set up before opening another branch: stock transfer, pricing, staff access, cash control and reporting.
The first shop works because the owner is there. A second shop works only if the systems work without the owner: the same prices, the same stock visibility, the same cash discipline and clear daily reports. Put these in place before the new shutter goes up.
The pre-opening checklist
| Area | What to set up |
|---|
| Pricing | One item master and price list for both branches; branch-specific prices only where deliberate |
| Stock | Separate stock per branch, with stock transfer entries between them |
| Purchasing | Who orders for which branch; central or local purchasing |
| Staff access | Branch-specific logins and roles; no shared passwords |
| Cash control | Separate cash drawers, UPI QRs and daily closing per branch |
| Reporting | Daily sales, cash and stock reports by branch, visible to the owner remotely |
| Customers | Shared customer records and credit balances across branches |
| Compliance | GST registration in the new state if the branch is in a different state; licences for the new premises |
Stock transfers: the most common gap
Moving stock between branches without recording it makes both branches' stock wrong. Every transfer should have a document: items, quantities, from, to, date, and confirmation on receipt.
Choose the branch manager carefully
The manager needs authority for daily decisions and clear limits on discounts, credit and cash. Agree on both in writing.
Run the numbers before opening
Estimate monthly rent, salaries, utilities and stock investment for the new branch, and the sales needed to cover them. Expect a few months to reach break-even.
The first 90 days
- Visit at different times of day, unannounced sometimes
- Compare daily reports across branches
- Fix process gaps fast: they multiply with every new branch
Where BizFlow fits
BizFlow's multi-branch billing shares one item master and customer list across branches, keeps branch-wise stock with transfer documents, gives branch-specific staff access and shows the owner all branches' daily reports in one place.
Frequently asked questions
Q: Do I need separate GST registration for a second branch?
A: If the branch is in a different state, you generally need registration in that state. Within the same state, you may add it as an additional place of business. Confirm with your CA.
Q: How do I track stock moved between branches?
A: Record every transfer with a document and confirm it on receipt, so both branches' stock stays accurate.
