Most garage disputes start with 'I wasn't told about that part'. How to use job cards, written estimates, approvals and itemised bills so customers trust your workshop and come back.
"Why is the bill so high?" is the question every garage dreads. It usually means the customer did not see the work coming. A simple process of job card at check-in, written estimate, approval for extra work and an itemised bill turns those arguments into trust.
At check-in: the job card
Record on every job card:
- Vehicle number, model, odometer reading, fuel level
- Customer name and phone
- Customer's complaints in their own words
- Visible damage (photos help)
- Items left in the vehicle
- Promised delivery time
Give the customer a copy or send it on WhatsApp.
Before work: a written estimate
List expected labour and parts with prices. For uncertain repairs, give a range and say what you will check first.
During work: approval for anything extra
When mechanics find additional problems, message the customer with a photo, the reason and the extra cost, and wait for approval. A WhatsApp "OK" is a record both of you can see.
At delivery: an itemised bill

Service reminders
Record the next service due (date or kilometres) and remind customers who agreed to messages. Repeat service visits are your most profitable work.
