Every missed appointment is a lost slot and often a patient who skipped needed care. Practical ways clinics can reduce no-shows with reminders, easier rescheduling, smarter slots and follow-up calls.
No-shows hurt clinics twice: an empty slot that another patient could have used, and a patient who may have skipped care they needed. Most no-shows are not deliberate. People forget, get busy or find rescheduling harder than not coming. A few small changes address all three.
1. Send two reminders, at the right times
- One day before: date, time, doctor, address and how to reschedule
- Two to three hours before: a short reminder with the clinic's location link
Send from the clinic's own WhatsApp Business number or by SMS. Keep messages short and clear.

2. Make rescheduling easier than skipping
Patients who cannot come often simply do not reply. Offer a one-tap or one-reply way to reschedule, and freed slots can go to patients on the waitlist.
3. Design slots around reality
- Keep a few walk-in or buffer slots each session.
- Book follow-ups at the end of the consultation, before the patient leaves.
- Avoid booking new patients far in the future without a confirmation reminder.
4. Follow up after a missed appointment
A short, caring message the same day works: "We missed you today. Would you like to book another time?" For patients with ongoing treatment, a call from staff is better.
5. Track no-shows
Measure no-show rate by day, time, doctor and type of appointment. Patterns often appear: early mornings, Mondays or long gaps between booking and appointment.
