A Café Loyalty Programme Without a Separate App

Customers won't download another app for one café. How to run a simple loyalty programme using phone numbers, billing software and WhatsApp, and how to design rewards that actually bring people back.
Most customers will not download an app for their neighbourhood café, and paper stamp cards get lost. A loyalty programme works best when it runs on the customer's phone number at billing: no app, no card, and rewards tracked automatically.
Keep it simple: three designs that work
| Design | How it works | Good for |
|---|
| Visit-based | 10th coffee free, or a free dessert on the 5th visit | Cafés with frequent small orders |
| Spend-based | Points per ₹100, redeemable for items | Bakeries and restaurants with varied order values |
| Tier-based | "Regular" status after X visits a month, with a small perk | Places with many daily regulars |
Choose one. Complicated programmes confuse staff and customers.
Setting it up
- At billing, ask: "Would you like to join our loyalty? Just your phone number."
- Ask separately whether they want offers on WhatsApp, and record consent.
- Configure the rule in your billing software, so points or visits are counted automatically.
- Show progress on the bill: "Visits: 4 of 10. Next coffee free on visit 10!"
- Tell staff exactly how to apply and redeem rewards.
Rewards that cost little but feel generous
- A free item that costs you little (coffee, cookie, upgrade)
- Early access to a new menu item
- A birthday treat (if they shared a birthday month)
- Priority seating for regulars at peak times
Avoid deep discounts: they train customers to wait for offers and eat into margins.
Keep the programme honest
- Rewards should be easy to understand and easy to redeem.
- Do not change rules without notice.
- Message only customers who agreed, and make it easy to stop.
Measure what it does
Track repeat customer share, average visits per member per month and average bill value. If members visit more often than non-members, it is working.
Where BizFlow fits
BizFlow's café billing recognises customers by phone number, counts visits or points automatically, prints progress on the bill and sends opted-in customers a message when a reward is ready. See café POS software.
Frequently asked questions
Q: Do I need an app for a café loyalty programme?
A: No. A phone-number-based programme in your billing software works well and is easier for customers.
Q: What is a good loyalty reward for a small café?
A: Something with high perceived value and low cost: a free coffee after several visits, a dessert or a birthday treat.
